Appendix of H Rewards Loyalty Program

This Appendix H Rewards Meetings (“H Rewards Meetings”) forms part of the H Rewards Loyalty Program and sets out the opportunity for H Rewards Members to benefit from additional advantages within the scope of their membership. H Rewards Meetings is an extension of the H Rewards Loyalty Program and does not constitute a separate loyalty program.

In the event of any conflict between this Appendix H Rewards Meetings and the H Rewards Terms of Participation for the H Rewards Loyalty Program, the Terms of H Rewards Meetings shall apply solely in respect of meetings and events. In all other respects, the H Rewards Terms of Participation for the H Rewards Loyalty Program remain in full force and effect.

Participation in H Rewards Meetings requires an active H Rewards membership.

1. Eligibility

1.1 H Rewards Meetings is open to:

  • Professional meeting and event planners within the meaning of Section 1.2;
  • Employees of companies who book meetings and events in the course of their employment;
  • Owners, within the meaning of Section 1.2, of small and medium-sized enterprises (“SMEs”) who book business events for their company;
  • Individuals who book a “Qualifying Event” within the meaning of Section 2.1 and
  • Third-party agencies within the meaning of Section 2.1 acting on behalf of eligible participants. 1.2 Only individuals with an active H Rewards membership may earn H Rewards Points through H Rewards Meetings. 1.3 Bookings made for government or public-sector entities are excluded where restricted by applicable law, regulation or internal policy. 1.4 H Rewards Members are solely responsible for ensuring compliance with their employer’s gift, incentive and ethics policies. Please also refer to Section 8.

2. Qualifying Events, Segments and Eligible Spend

2.1 Qualifying Event A “Qualifying Event” means:

  • A group booking of more than nine (9) rooms; and/or
  • A meeting, conference, training, business function, wedding or social event with or without rooms;
  • Contracted directly with the hotel or via an authorized third-party agency or recognized online meeting platform;
  • Where payment for eligible charges is arranged directly with and billed by the hotel.

Charges paid individually by attendees are not eligible for earning under H Rewards Meetings. The classification of an event or individual services as a Qualifying Event within the meaning of Section 2.1 is subject to the discretion of the Participating Hotel acting in accordance with these Terms of H Rewards Meetings.

2.2 Eligible Commercial Segments In addition to meeting the definition of a Qualifying Event, the event must fall within an approved commercial segment as determined by the Participating Hotel. Only the following segments are eligible:

  • Corporate Meeting Residential
  • Corporate Meeting Series
  • Corporate Meeting Non Residential
  • Corporate Group Business
  • Corporate Group Sport & Entertainment
  • Leisure Group Private

Events outside these segments are not eligible, even if they otherwise meet the Qualifying Event criteria. The Participating Hotel’s determination of segment eligibility shall be final.

2.3 Eligible Event Charges “Eligible Event Charges” include:

  • Guest rooms charged to and paid via the Master Bill;
  • Meeting room rental and venue hire;
  • Contracted food and beverage linked to the event;
  • In-house audio-visual and technical services;
  • Event packages billed by the hotel;
  • Ancillary services billed by the hotel and defined in the contract.

2.4 Non-Eligible Charges The following are not Eligible Event Charges:

  • Guest rooms paid directly by individual attendees;
  • Taxes, gratuities and service charges;
  • Costs incurred via external suppliers or third-party vendors not billed through the hotel;
  • Personal incidental charges of attendees;
  • Cancellation, no-show or attrition fees;
  • Any spend not billed through the hotel’s official billing system.

3. Earning of Points

3.1 H Rewards Members earn three (3) H Rewards Points per €1 of Eligible Event Charges in accordance with Section 2.3. 3.2 Points are credited only after:

  • The Qualifying Event has taken place; and
  • The final invoice relating to Eligible Event Charges has been issued and paid in full.

3.3 Points will be posted within ten (10) business days following verification of full payment. 3.4 Each Qualifying Event may be credited to a maximum of two (2) member accounts, provided this is clearly stated in the Event Contract. 3.5 A maximum of 100,000 H Rewards Points may be awarded per event unless otherwise expressly agreed in writing with the Participating Hotel. 3.6 H Rewards Loyalty Program reserves the right to request proof of contract, invoice or payment and to withhold, adjust or reverse Points where eligibility cannot be verified or where fraud, abuse or manipulation is suspected. 3.7 Points earned under H Rewards Meetings are subject to the same expiration, forfeiture and adjustment rules set out in the H Rewards Terms of Participation for the H Rewards Loyalty Program, including the 24-month inactivity rule.

4. Promotions

4.1 H Rewards Loyalty Program may from time to time introduce H Rewards Meetings-specific promotions, including but not limited to welcome bonuses or double points campaigns. 4.2 Such promotions are subject to separate terms communicated at launch and incorporated by reference into this Appendix.

5. Redemption

5.1 Points earned via H Rewards Meetings are standard H Rewards Points and may be redeemed in accordance with the H Rewards Terms of Participation for the H Rewards Loyalty Program. 5.2 Notwithstanding any restriction in the H Rewards Terms of Participation for the H Rewards Loyalty Program relating to group or meeting redemptions, Points earned under H Rewards Meetings may be redeemed for approved Meeting Credits within the meaning of Section 5.3, to offset future event invoices at Participating Hotels. 5.3 Meeting Credits:

  • Have no cash value;
  • Cannot be exchanged for cash;
  • Cannot be transferred to another H Rewards Member and
  • May only be used at Participating Hotels.

5.4 All redemptions are subject to availability and valuation as determined by H Rewards Loyalty Program at the time of redemption.

6. Status and Recognition

6.1 Points earned under H Rewards Meetings count toward a member’s overall H Rewards Points balance. 6.2 H Rewards Loyalty Program may introduce status benefits, tier recognition or fast-track offers for high-value planners as communicated from time to time.

7. Adjustments and Cancellations

7.1 If a Qualifying Event is cancelled, refunded, reduced or otherwise adjusted, any Points awarded may be proportionally reversed or adjusted. 7.2 Missing Points claims must be submitted within three (3) months following completion of the Qualifying Event.

8. Disclaimer of Liability

H Rewards Members are solely responsible for any tax liability arising from Points earned or redeemed under H Rewards Meetings. H Rewards and the Participating Hotels shall not assume any liability in this respect.
